Privacy Policy

This policy explains what personal information we collect, why we collect it, and how we look after it. Last updated: 1 August 2026.

Who We Are

Top That Video Restoration is a video conversion and film restoration service based in Dudley, West Midlands. For the purposes of data protection law, we are the "data controller" of the personal information described in this policy.

You can contact us about anything in this policy using the details on our Contact page.

Information We Collect

We only collect personal information that you give us directly. This mainly happens in two ways:

  • Contact form: when you use the form on our Contact page, we collect your name, email address, phone number (if you choose to provide one), and the content of your message
  • Post, drop-off, or collection: if you send us tapes, films, or other media, we collect whatever details are necessary to log, return, and correspond with you about your order — such as your name, address, and contact details

We do not use analytics software, advertising trackers, or any tool that profiles visitors to this website.

How We Use Your Information

We use the information you provide to:

  • Respond to your enquiry and discuss your conversion or restoration requirements
  • Arrange the postage, drop-off, or collection of your items
  • Keep you updated on the progress of your order and arrange its return
  • Maintain our own business records, such as invoices and correspondence

We do not sell, rent, or share your personal information with third parties for their own marketing purposes. We do not send marketing emails unless you have separately asked us to.

Your Tapes, Films & Digital Content

The photos and footage held on the tapes, reels, and drives you send us are your property and often deeply personal. We treat every item with the same care and confidentiality we would want for our own family's memories.

Your converted files are prepared for you alone and are not viewed, used, shared, or kept for any purpose beyond completing your order. Once your order is complete and your USB and originals have been returned, we do not retain copies of your converted footage unless you have specifically asked us to keep a backup on file.

Cookies & Similar Technologies

This site does not use advertising or analytics cookies. Two things are worth knowing about:

  • Cookie preference: when you accept or decline our cookie banner, we save that choice in your browser's local storage so we don't ask again. This stays on your device and is never sent to us.
  • Google Fonts: we use Google Fonts for the typefaces on this site. Loading them causes your browser to make a request to Google's servers, which may log your IP address. You can read more in Google's Privacy Policy.

Sharing Your Information

We use a small number of trusted service providers to run our business, who process personal information on our behalf:

  • Email delivery: enquiries sent through our contact form are transmitted using Resend, an email delivery service, before arriving in our own inbox
  • Web hosting: this website is hosted by our web hosting and infrastructure provider, who processes data necessary to serve the site to your browser

We do not share your information with any other third party, except where we are required to by law.

Resend processes this data on servers located in Ireland (EU). The UK recognises the EU as providing an adequate level of data protection, so no further safeguards are required for this transfer.

How Long We Keep Your Information

We keep enquiry and order correspondence for as long as reasonably necessary to complete your order, deal with any follow-up questions, and meet our legal and accounting obligations — after which it is deleted. Physical tapes, films, and drives are returned to you and are not retained.

Your Rights

Under UK data protection law, you have the right to:

  • Ask us what personal information we hold about you, and receive a copy of it
  • Ask us to correct information that is inaccurate or incomplete
  • Ask us to delete your personal information
  • Ask us to restrict or object to how we use your information
  • Withdraw any consent you've previously given us

To exercise any of these rights, just get in touch using the details on our Contact page. If you're unhappy with how we've handled your information, you also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Keeping Your Information Secure

We take reasonable technical and organisational steps to protect the personal information and physical media you share with us against loss, misuse, or unauthorised access.

Children's Privacy

This website and our services are intended for adults. We do not knowingly collect personal information from children.

Changes to This Policy

We may update this policy from time to time, for example if we start using a new service or if data protection law changes. Any updates will be posted on this page with a new "last updated" date.
